Policy Statement

The College of Continuing and Professional Studies (CCAPS) follows the University policy on Academic Warning and Suspension for Undergraduate Students for degree-seeking undergraduate students in the College. This policy provides further information regarding processes within the College related to this policy.

Academic Warning

A student is placed on academic warning (and remains on academic warning) if either the term or the cumulative GPA is below 2.000.

  • If the term GPA is above 2.000 but the cumulative GPA remains below 2.000, or vice versa, the student remains on academic warning.
  • While on academic warning, a registration hold is placed on the student’s record. The student must obtain permission from their academic advisor to remove the hold before registering for the next term.
  • A student remains on academic warning until both their term and cumulative GPAs are above 2.000 and the requirements of their academic contract (outlined in their academic warning email) are fulfilled.

Academic Suspension

A student is suspended if:

  • At the end of the academic warning term, both the term and cumulative GPA are below 2.000, or
  • The conditions of their academic contract are not fulfilled.

Suspension is effective immediately. When suspended:

  • The student is no longer enrolled in the program and cannot register for any University courses for at least one academic year.
  • Future-term course registrations are canceled, and financial aid is removed.
  • All University colleges and campuses recognize academic warning and suspension holds. Students cannot circumvent these holds by attempting to register as non-degree students.

Appeals and Readmission

  • CCAPS undergraduate students may appeal their suspension decision before the one-year period has passed by submitting a written appeal to the CCAPS Scholastic Committee. Appeals are reviewed based on evidence of extenuating circumstances.
  • Students seeking readmission after serving their one-year suspension must petition the CCAPS Scholastic Committee in writing.

Reason for Policy

University policy requires colleges to provide information and processes on academic warning and suspension. The college level policy ensures consistency in processes for students being placed on and removed from academic warning or suspension.

Procedures

  1. End of Term Review: Academic progress is reviewed at the end of fall and spring semesters.
  2. Notification: Students are notified via email if placed on academic warning or suspension.
  3. Registration Hold: Students on academic warning have a hold placed on their record until advisor clearance is granted.
  4. Suspension Appeals: Appeals must be submitted in writing to the CCAPS Scholastic Committee at [email protected].
  5. Readmission Petitions: Petitions for readmission may only be submitted after one full academic year by the stated deadlines. Petitions should be sent in writing to [email protected].

Appeal of Suspension

  • Students should submit their appeals in writing, via email, to the CCAPS Scholastic Committee ([email protected]). Students will receive a response within 15 business days.
  • The CCAPS Scholastic Committee will review the appeal and consider evidence of extenuating circumstances explaining why the student should not be suspended. If the student’s term and cumulative GPA are below 2.000, it’s unlikely that the suspension appeal will be approved.

Petition for Readmission

  • Students must wait at least a year after suspension before submitting a petition for readmission. Students should submit their petition in writing, via email, to the CCAPS Scholastic Committee ([email protected]). Students will receive a response within 15 business days.

  • Deadlines
    • For the fall semester, petitions must be received by August 1.
    • For the spring semester, petitions must be received by January 1.
  • Reflection Statement for the Scholastic Committee
    • Describe the factors that led to your academic difficulties and suspension. Be candid and specific (academic challenges, personal or health issues, etc.).
    • Explain what has changed during your time away. The committee is looking for evidence that the problems have been addressed or resolved. For example, if you had health issues, perhaps you got treatment; if you were working too many hours, maybe you’ve adjusted your work schedule; if you didn’t have a direction, maybe you’ve since clarified your goals.
    • Detail your plan moving forward. How will you improve your academic performance if readmitted? Mention specific strategies like regular meetings with an advisor, using tutoring services, taking a reduced course load at first, etc. Show that you have a concrete plan and are committed to making the necessary changes.
    • Mention your longer-range academic or career plans and how returning to finish your degree fits into those.
    • If applicable, include any documentation that supports improvements or changes. For instance, transcripts from courses taken elsewhere during the suspension (to show improved grades), a letter from an employer or counselor verifying changes, etc.
